POSITION: Receptionist/Secretary to the Associate Principal

QUALIFICATIONS:
The candidate must have earned a high school diploma
Clerical experience or training preferred
Experience in a school setting preferred
TERMS OF EMPLOYMENT:
1. Work Year: Twelve month work year.
2. Salary: Salary and fringe benefits to be established by the Board of Education.

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of Educational Support Personnel.

JOB DESCRIPTION
TITLE OF THE POSITION:
Receptionist/Secretary to the Associate Principal
LOCATION OF THE POSITION:
Oak Forest High School
REPORTS TO:
Associate Principal
GENERAL DUTIES:
To assist in maintaining high quality services for staff, students, parents, and community members who utilize the services assigned to this position.
To assist immediate supervisor in carrying out the duties assigned to that position.
To strive for positive and collegial public relations with the staff, students, parents and community members.
To maintain confidentiality in all areas assigned to this position.
QUALIFICATIONS:
The candidate must have earned a high school diploma
Clerical experience or training preferred
Experience in a school setting preferred
ESSENTIAL FUNCTIONS:
Possess the ability to speak clearly and be understood by others.
Possess the ability to write legibly.
Possess the ability and have received the training to effectively operate a computer, using a PC platform, at a level which would allow a candidate to pass a test administered for this position.
Possess the ability to demonstrate effective telephone skills and the ability to operate a modern phone system.
Demonstrate the ability to calmly address individuals using the services offered by the position.
Possess an acceptable attendance history in prior positions and demonstrate the ability to meet the daily attendance requirements of the designated position.
Possess a successful work history, supported by references, in a work setting similar to the position for which the candidate is applying.
Demonstrate the ability to practice confidentiality with sensitive information.
Demonstrate effective interpersonal skills to assist in establishing a positive climate in the work environment.
PERFORMANCE RESPONSIBILITIES:
Assign substitute teachers (internal and external) and record teacher and secretarial attendance on a daily basis.
Receive and route calls through the switchboard.
Miscellaneous typing.
Issue work permits.
Arrange bus and rental car transportation for field trips.
Greet and direct visitors.
Register new students, check residency, make copies of all documents and create a folder.
Registration Packets ? (make copies of each packet for 1200 students, collate them, stuff envelopes, get labels and mail out.
Type the graduation list, order diplomas and prepare diplomas for distribution.
Prepare purchase orders for Assistant Principal for Teaching and Learning.
Prepare list from returned mail to check for residency and during the year send out residency letter regarding returned mail.
Prepare monthly bus and rental car report from field trips and send copy to Ad Center
Filing (Assist with maintaining student files)
Prepare summer contracts for teachers and get copies to them.
Maintain use of facility log.
Insert teacher supervision schedules onto master schedule, make copies and put in teacher mailboxes.
Copy supervision schedules and distribute to teachers.
Type all accident reports for all employees, make copies and send to the Ad Center.
Process student withdrawals.
Assist with Renaissance Program ? (copy packets, put in large manila folders, get double labels for all Renaissance students. Put one set of labels on manila folders and the other set goes on the back of the Gold, Silver, Bronze and White Cards).
General Xeroxing and distribution of memos from the Assistant Principal of Teaching and Learning Office.
Follow-up on purchase orders
And other duties as assigned by the Assistant Principal for Teaching and Learning.
Prepare Room Utilization List for Parent Teacher Conference Day.
Mail room duty when secretary assigned to it is on vacation.
TERMS OF EMPLOYMENT:
Twelve month work year. Salary and fringe benefits to be established by the Board of Education.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
